How we handle personal data
This notice covers the Specline website and the Specline service. It is written to be read, not to be got past.
1Who we are
SY Design Studio Ltd, of 49 Durham Avenue, Hounslow TW5 0HG, trading as Specline, is the data controller for the personal data described in sections 3 and 4. You can reach us at info@sydesignstudio.co.uk about anything in this notice, including to exercise any of the rights in section 8.
2Cookies and tracking
This website sets no cookies. There is no analytics, no advertising pixel and no third-party tracking on it. Fonts are loaded from Google Fonts, which means your browser makes a request to Google and Google will see your IP address as part of serving the font file.
The Specline application stores your practice settings and unsent work in your own browser so that the app works. That storage stays on your device and is not tracking.
3If you join the waiting list
| What we collect | Why | Lawful basis | How long |
|---|---|---|---|
| Your email address, and your name and practice if you give them | To tell you when Specline opens, and nothing else | Consent, which you give by submitting the form | Until you ask us to remove you, or 24 months after the launch email, whichever is sooner |
| The date you signed up, and the IP address the request came from | To show consent was given, and to stop the form being abused | Legitimate interests: keeping a record and protecting the form | 12 months |
We will not sell or share the list, and we will not send you anything other than news about Specline. Every message we send will have a one-click way to come off the list, and you can ask to be removed at any time by emailing us.
4If you subscribe
| What we collect | Why | Lawful basis | How long |

| Account and practice details: name, email, practice name, address, phone, logo | To provide the service and to put your identity on your documents | Performance of our contract with you | While you subscribe, then 60 days |
| Job records: job numbers, site addresses, client names, the choices you make | To save your work and let you reopen it | Performance of our contract with you | While you subscribe, then 60 days, then deleted |
| Billing details | To take payment and meet our tax obligations | Contract, and legal obligation for the records we must keep | 7 years, as UK tax law requires |
| Usage and error logs | To keep the service working and secure | Legitimate interests: running the service | 12 months |
5Your clients' personal data
A job record can contain personal data about someone who is not our customer, most obviously a client's name and a site address. For that data you are the controller and we act as your processor. On your instructions we will:
- process it only to provide the service to you, and not for our own purposes;
- keep it confidential and require the same of anyone we use to help run the service;
- apply appropriate security, as described in section 7;
- not engage another processor without telling you first and giving you a chance to object;
- help you respond to a request from an individual, and to a personal data breach;
- delete or return it at the end of the contract, as section 4 sets out; and
- make available what you reasonably need to show we are meeting these obligations.
These commitments are the processing terms referred to in our terms of supply.
6Who else is involved
We keep the number of third parties small and will name them here rather than describe them vaguely.
- Hostinger hosts this website and the waiting list, in the EU.
- Google Fonts serves the typefaces on these pages, as described in section 2.
- Anthropic hosts the Specline application in its current form, so job records saved in the app are stored on its infrastructure.
- A payment processor will be added when subscriptions open. We will name it here before we take a payment, and we will never hold your full card details ourselves.
Where a provider processes data outside the UK, we rely on the UK's adequacy regulations or on the International Data Transfer Addendum to the standard contractual clauses.
We will also disclose data where the law requires it. We do not sell personal data, and we do not use it to train machine learning models.
7Security
The site is served over HTTPS. Access to the waiting list and to subscriber data is limited to those who need it. The waiting list is stored outside the public web directory so that it cannot be fetched from the internet. If a breach affects your rights we will tell you and the Information Commissioner's Office within the time the law requires.
8Your rights
Under UK data protection law you can ask us to give you a copy of your data, correct it, delete it, restrict or object to how we use it, or provide it in a portable form. Where we rely on consent, you can withdraw it at any time, and doing so does not affect what we did before. Ask us at info@sydesignstudio.co.uk and we will respond within one month.
If you are not satisfied with how we have handled it, you can complain to the Information Commissioner's Office at ico.org.uk, by post at Wycliffe House, Water Lane, Wilmslow SK9 5AF, or on 0303 123 1113. We would rather you came to us first.
9Changes
If we change this notice we will update the version and date at the top. Where a change materially affects you we will tell you directly rather than expecting you to notice.
